There was a concern that many people that normally attend where not aware that the meeting was this Monday, as the website indicated it was to be held on 7/23. 

                                   

Meeting called to order at 7:45 PM at Denny’s in Cameron Park.

 

MANAGER’S REPORT:

 

·         Brian asked for a volunteer to attend the playing league meeting on Tuesday the 24th .  It will be held at Arco arena  at 7:00PM.  Elaine volunteered to attend.

·         Dennis attended the EDYSL League meeting in Tahoe.  There was nothing in particular to report other than information shared about registration and traveling paper requirements.

·         Brian brought up the subject of scholarships.  A few requests have been submitted to the club and he feels that guidelines need to be established for granting player scholarships.  Some suggestions discussed:

·         Review school district guidelines used for lunch and busing fee assistance

·         An application should be developed and required

·         If monetary assistance is granted, then player/family should assist club with duties such as lining fields or tournament duties.

·         Sponsorships should be solicited by individuals seeking monetary assistance.

·         The team should have a representative assist the board in determining assistance level appropriate for player.

The action to be taken immediately will be research of guidelines established by other organizations and the creation of an application.  Elaine will work with the board on the specific cases that have submitted scholarship requests.

·         The subject of referee assignment pay was brought up.  Brian understood that Dennis would start receiving payment for the Fall 2001 season.  However, Dennis had asked to be retroactively paid for the last Winter season – for the amount of $200.00.    The board discussed this request and has determined that before a decision can be made, the status of the club funds need to be accessed by Elaine.

·         Brian is concerned about the possible issue that occurs every season where players start dropping out around State Cup time.  This has always been an issue in the past.  The board discussed that a player’s commitment if for the whole season, which is defined up front to include State Cup.  Therefore, dues are expected to be paid during the entire season even if the player opts to drop out from the team.

·         Brian mentioned that he is missing a majority of the coaching contracts.  Checks for being held at this point until these can be turned in.     General accountability was discussed and it was determined that Elaine needs to know if checks for particular coaches need to be pro-rated due to missed practices or not distributed due to lack of monthly report completion.  The board agreed that this is Shawn’s responsibility to address with the coaches.

·         Suzanne reported that the web page has been updated with current board members and team info.   However, the coaching link is still out of date.

·         Janis reported that she is re-working the practice schedule.   moving some teams from Pondo to Bass Lake, now that it is available.

REFEREE COORDINATOR

 

·         Dennis reported that Referee classes are scheduled for the end of July and beginning of August.  There are an addition of 8 new adult referees this year. 

 

REGISTRAR

 

·         Mary discussed several issues regarding registration.  A couple of players can not get birth certificates which is holding up their player passes.  Also shared information about two select players who are unable to get guest player passes for the U11 team.  This is due to no player passes available yet for select and these are necessary.   Also, Mary needs to have each coaches SSN and Drivers License number.  These have to be submitted to the Sacramento Department of Justice due to Child Abuse and Molestation guidelines.

 

TOURNAMENT

 

·         Janis gave a quick update on the tournament progress.  It’s moving along real well.  The logo looks real nice.  We will have T-shirts, long and short sleeve, polo shirts and zipper pulls with logo.  The schedule is starting to be formed.  We still need some teams in a variety of age groups.  The next meeting will be held on August 2nd at 7:00 at Janis’s office.  Also setting up sponsorship for ads – information will be on the website.
