Meeting called to order at 7:45 PM at Denny’s in Cameron Park.

MANAGER’S REPORT:

· Playing league meeting – All clubs turned in working rosters and they were reviewed. At the last meeting, there appeared to be enough U10 Girl teams, but it has turned out that there are only 3. They may end up playing with boys again. Inter district transfers were discussed. A one page policy has been written and will be reviewed in the next meeting. If anyone wants to come into our district, it is fine. But our district has a problem letting a player go. Older girls are getting wooed away by college coaches. 
· Brian reviewed the problems with some of the working rosters. He needs to get the younger teams straightened and also turn in the older teams at the next meeting at Arco, Tuesday, 5/29. At this point, he needs a new U10 boys and a U11 Boys B team roster. Suzanne will provide these. All of the older team rosters are needed. Pat Carden provided the one older girls team to Brian during the meeting. 
· See Janice to verify team practice days, times and field. No team is guaranteed a spot until Janice she has all requests.

GIRL’S V.P.

· It was reported that the U16 girls are going to play either EDH or Prospector select.

BOY’s V.P.

· Two U11 Boys teams are set up. 
· U16 boys are going to play together as select.

WINTER V.P.

· Vacant – nothing to report at this time.

REFEREE COORDINATOR

· Dennis reported about the referee class that will be going on between all clubs. 
· Dennis wanted to bring up a proposal to change the fee structure for Fall. Currently, we are paying $20 for center and $15 for lines. He is requested the following restructuring:
U10 – U12 $17 and $13 
U13 – U15 $20 and $15 
U16 – U19 $25 and $20
Prospector is paying $10 and $15, but this is going to be changed. EDH is paying U10 – U13 $12 and $10 and U14 – U16 $16 and $14. Dennis indicated that the goal would be to ensure that all of the clubs are structured similarly so as not to introduce competition.
Brian wants to see how this will affect our budget. This will be discussed at the next board meeting.

REGISTRAR

· Database had errors, caused the system to crash. But it has been resolved. Denny elaborated that the same player may be entered with slightly varying information which causes a new record to be entered – for example, Street may be entered as S or St. If there are 3 records for the same person, it really gets messed up. Mary has addressed all of these problems and the U12 and U14 boys and girls are all in the database and ready for pickup.
· Mary indicated that she has the yellow registration form ready for these 4 teams that have completed registration.
· Only one older girls team has requested registration forms.
· The Registration checks are ready to give the treasurer.

TOURNAMENT

· Tom Brown set up a tournament meeting that was held last week. The next meeting is scheduled for June 20th, 7:00 at Tom Brown’s house located at 2950 Springburn Way, El Dorado Hills. Springburn is off of St. Andrews by the Sports Park.
· Each team must send a representative to the next meeting. 
· A total of 4 fields will be used for the tournament. Christa; New EDH field (off of Silva Valley), Bass Lake and EDH CSD. Snack bar taken at two of the 4 fields.

COACHING COORDINATOR

· Shawn passed out a list of all coach names and contact information.
· Shawn reported on the coaching meeting he held on Sunday, 5/20. All but two coaches were present – one was excused due to work commitment. Some items covered:
· Majority of coaches have E/D licenses. Shawn has asked that they work towards the next licensing level until they reach their C license. Shawn indicated that a National D license course will be held at Sonoma State August 1st – 5th. Our league and comp club pays for these courses. Shawn will distribute course information to every coach. He has stated very firmly that if they don’t have a new license as of this time next year, they won’t be coaching here next season.
· The contract for coaching services was reviewed. This provides guidelines/outlines – we have something to follow for the year. This needs to be reviewed between the team manager and coach. The contract spans June through January. Some items of note – The coach is required to hold at least two practices a week, but is encouraged to have a third session. Shawn suggests a conditioning session instead of a formal practice as an option. He is asking for 10 training sessions versus 8 a month. There are also some suggestions for payment of expenses. This item should be discussed between team manager and coach and is not a board decision. Once reviewed, the contract must be signed by the coach and team manager and returned to Shawn.
· Each coach will be turning in a spreadsheet indicating 1) the days trained during the month, 2) lesson plann used 3) why was particular lesson planned used, for example - based upon results of a prior game
· All game results will be documented and turned in on a monthly basis. Any specific noteworthy events that happen at a game should be documented by the coach (red cards, parent issues and notable problems with players, plus positive feedback about game)
· Shawn has told each coach that the prior month’s activity report is due on the 15th of the following month (June report due on July 15th). If it is not turned in, the coach will not get paycheck.
· Shawn has also requested information regarding players who are involved with ODP.
· Player evaluation example forms distributed. Asking coaches to fill out during mid season and then fill out again at the end of the season. Great way to see improvement through the season. Shawn expressed the importance of being very honest. If a player gets a ‘1’, make sure there are comments to explain why. Same applies for 5’s. After season is concluded, each coach has two weeks to complete all player evaluations or they don’t get their final check. Although highly encouraged, it is optional to complete the mid season evaluations.
· Disciplinary rules are also in the contract. It is expected that coaches will miss practices and games from time to time. When this happens, the coach is to look for his own replacement. If he can not find a suitable replacement, then it is a requirement to contact Shawn 72 hours ahead of time so that Shawn can find someone. A form will be provided by the coach, who specifies the line up for first half, line up second half, with substitutions also listed. This gives complete instructions to the replacement coach. If a coach misses a practice or game unexpectedly, 1st time a warning in writing is given. 2nd time fined $50. 3rd time fined $50.00 and must come before the board and explain why this is happening. 
· From time to time, Shawn will critique practices and provide constructive feedback to coach.
· Shawn requested a list of team managers with contact information. Susan can provide for the Boys. Pat to provide for Girls. Shawn would like to establish more formal lines of communication between teams/parents and coaches to the board. 
· Goal keeping sessions will be held the first three Mondays of the month. U10 – U12 5:30 – 6:30 U13 and above 6:30 – 7:30 at Christa. Shawn stressed that if a team is practicing at this time, they will have to ensure that Zeca has one of the available goals for his training sessions. Zeca will keep track of attendance and missed practices will be reported. Send two goalkeepers at most to training sessions. 
· Shawn indicated that two A licensed coaches (Chris McCargo and Art Temblador) have approached the club, interested in taking a team. Unfortunately, all coaching positions are filled. Shawn may use these two coaches to fill in as needed for training sessions. Brian suggested that both Art and Chris should register as assistants on a team so that if the need should arise, we can freely transfer them on a as needed basis.
· Shawn wants to ensure that a parent questionnaire is distributed once the season is over. This will be mailed. This will have questions to reflect how the season went for the player and parent and will used to make improvements for the following season.
· Shawn indicated that both he and Zeca are involved in ODP. He feels that this will assist with some of the kids getting proper representation for our club. Shawn voiced his concerns about his ODP commitment and wanted feedback from the board on how this will affect his commitment to the EDUCC. The board indicated that it wouldn’t know if it were a problem unless it becomes a problem. Everyone wants to ensure that it doesn’t become a problem, so open communication is necessary.
· Shawn brought up Soccer Fridays. Kids from the El Dorado County area just show up with a ball Friday evening at a designated field. Focus on specific touch and technical skills. Then a few small fields could be set up and pick informal teams and let the kids play. This has been very successful in Santa Rosa and San Juan will be doing something similar also.

OLD BUSINESS

· Uniforms – they are ready to pick up. Older teams – wants them all ordered at once. June 1st cut off date to order.
· Also need a field coordinator desperately!

NEW BUSINESS

· Shawn introduced Lance McGuire who has just moved to the area. He has two children playing comp for the club. He is interested in assisting where he can. It is possible that Lance can fill the vacant Winter VP position. More information will be provided to Lance and this can be voted on this during the next meeting.
